Overview
Stockwell is a real-time inventory and stock management system built for retailers who need to know exactly what’s on the shelf, what’s about to run out, and what it’s all worth — without living inside a spreadsheet. Every unit is tracked from the moment it arrives to the moment it sells, with a complete, auditable trail behind every number.
Problem
Most small and mid-sized retailers still manage stock by hand — a spreadsheet updated at the end of a shift, a notebook by the register, or a count that only happens when something’s already run out.
That approach breaks down in predictable ways:
- Stock counts drift out of sync with what's physically on the shelf
- Reordering happens after an item is already gone, not before
- There's no record of why a count changed — making shrinkage and errors nearly impossible to trace
- Nobody can say, at a glance, what the inventory on hand is actually worth
Approach
We built Stockwell around three principles: stock levels that are always current, full traceability on every change, and reordering that happens before a shelf goes empty.
The solution included:
- Every movement — receiving, selling, adjusting, correcting a count — is logged with a reason, a timestamp, and optionally a lot number and expiry date
- True FIFO cost-layer valuation, so the business knows what its inventory is actually worth — not an averaged guess
- Automatic reorder suggestions with one-click purchase-order creation the moment stock crosses its reorder point
- Scheduled cycle-count sessions that catch discrepancies before they become shrinkage
- Bulk editing, saved filtered views, and CSV export for fast day-to-day operation
Outcome
What it delivers (capability callouts, not fabricated metrics — see note below)
- Real-time stock levels and inventory value
- Full audit trail on every unit that ever moved
- True FIFO costing, not a flat average
